CMMS vs Inspection App vs Work-Order Software

These three categories overlap far more than the vendors admit — and the gaps between them are where work quietly falls apart. Here's what each really does, and how to choose.

An inspection app captures a finding. Work-order software tracks the fix. A CMMS schedules and records maintenance. Most teams end up buying two or three of them — and paying, in coordination, for the gaps between.

If you've shopped for maintenance software, you've hit the confusion: an inspection app, a work-order tool and a CMMS all promise to "digitise your operation", yet they do noticeably different jobs. Buy the wrong one and you'll be back in a spreadsheet within a month, stitching the tools together by hand.

Here's the honest breakdown of what each category actually does.

What an inspection app does

Inspection apps digitise the check. They turn paper checklists into mobile, photo-backed forms — walkarounds, safety audits, condition surveys — that run offline and produce a tidy report. They're excellent at capture and evidence.

The gap: an inspection app is brilliant at telling you something is wrong, and then… stops. The failed item becomes a PDF. Someone still has to read it, decide what to do, raise the job, and chase it. The maintenance that the inspection found lives somewhere else entirely.

What work-order software does

Work-order tools digitise the fix. They create a job, assign it, track its status, and close it out. Great for coordinating a team of technicians or contractors and knowing what's open.

The gap: work-order software usually starts after someone has decided a job is needed. It's weaker on where that job came from (the inspection, the request, the sensor) and on the scheduled, recurring maintenance that prevents jobs in the first place.

What a CMMS does

The gap: traditional CMMS platforms were built for the maintenance office, not the field or the outside world. Inspections are often bolt-ons, the mobile experience lags, and there's rarely a clean way for a tenant, driver or member of the public to raise work in the first place.

The real problem: the gaps between tools

Notice the pattern. Each tool owns one stage of the same story — a fault is found, a job is raised, the work is done, a report goes back. When those stages live in different tools, the hand-offs between them become manual work: someone re-keys the finding into a job, someone emails the report, someone chases the contractor. That coordination is invisible on any invoice, but it's where time and accountability leak away.

The question isn't "inspection app or CMMS?" It's "what happens in the gaps between them?"

How to choose

  • If you only ever run checks (and someone else owns the fixes), a standalone inspection app may be enough.
  • If you coordinate a team of technicians on known jobs, work-order software earns its keep.
  • If you own the whole cycle — finding problems, fixing them, and proving it — you want a single platform that connects all three, not three tools you glue together.
