Good equipment maintenance means every asset has a single, complete record — service history, inspections, faults, calibration and documents — that anyone can pull up by scanning it. Get that right and scheduling, warranties and failure prediction all follow.
Whether it's HVAC units, generators, forklifts, compressors, lifts or lab instruments, equipment maintenance shares a core problem: the knowledge about each machine is scattered. The service was done by a contractor whose paperwork is in an inbox; the last fault is in someone's memory; the calibration certificate is in a drawer. When that knowledge is fragmented, you over-service some assets, miss others, and can't prove a thing.
Start with the record, not the schedule
The instinct is to jump straight to "how often should I service this?" But the schedule is only useful if it's attached to a proper record. Build an asset register where each piece of equipment has:
- Identity — make, model, serial number, location.
- Documents — manuals, warranties, certificates.
- History — every inspection, service and fault, with dates and evidence.
- Status — condition, next due date, and any open work.
Once that exists, everything else — scheduling, warranty claims, cost analysis, disposal decisions — becomes straightforward.
Scan-to-history: the record in your pocket
The practical unlock is putting a QR code on each machine. Scan it and you're on that asset's full record — no hunting through folders. An engineer standing at a broken compressor can see it's failed twice before, when it was last serviced, and where the manual is, in seconds.
The label on the machine should be the front door to everything you know about it.
The four things to keep on schedule
1. Preventive servicing
Time- or usage-based, driven by manufacturer guidance and your failure history — the backbone of keeping equipment reliable. (See our PPM guide.)
2. Statutory and safety inspections
Lifting equipment (LOLER), pressure systems, electrical (PAT) and similar — fixed legal intervals where a lapse is both a safety and a compliance problem. Track them with expiry alerts so nothing slips.
3. Calibration
For measuring and test equipment, calibration status is part of quality compliance. Keep certificates against the asset with due dates.
4. Warranty windows
Knowing an asset is still under warranty turns a repair bill into a free fix — but only if you can find the warranty and prove the service history it depends on.
Turn faults into foresight
Once faults live on the asset record instead of in memory, patterns emerge. The unit that keeps tripping, the model with a recurring weakness — these point to root causes worth fixing and to failures worth predicting. That's the step from reactive repair to proactive maintenance.
The bottom line
Treat every machine as an asset with a story, not a line item. Give it one record, make that record one scan away, and keep servicing, safety and calibration on schedule. The machine that carries its own history is the one you can maintain, insure, claim on and trust.
