This policy describes how you can delete your AssetWRX account and data, what happens during the recovery window, what is permanently deleted, and what is retained or anonymised. It is provided alongside our Privacy Policy to satisfy Article 17 GDPR (Right to Erasure), the Apple App Store requirement that account deletion be initiable from within the app, and the Google Play account-deletion policy.
1. How to delete your account
You can request account deletion at any time, from any device:
- In the mobile or web app: Profile → Privacy & Data → Delete Account. Type DELETE to confirm.
- By email: privacy@assetwrx.com from the address registered on your account.
In-app deletion is the fastest path and avoids identity-verification delays. We respond to email requests within 30 days.
2. What happens immediately
When you confirm deletion:
- Your sign-in is disabled (you are signed out and cannot sign back in).
- Your Stripe subscriptions are cancelled. No further charges occur. Any pre-paid Credit Pack balance is forfeited and is not refunded.
- Marketing email and push subscriptions are revoked. We will not contact you for marketing purposes.
- Push notification tokens for your account are deleted.
- Your name and email on your profile are replaced with anonymised values.
- Workspaces that you solely own enter a soft-deleted state — visible to no-one, scheduled for hard-deletion in 30 days.
- Your team memberships are removed (so the workspaces of organisations you collaborated with no longer reference you).
- An audit row is written to the deletion log to evidence the request was received and acted on. This log retains only an opaque user identifier and a one-way hash of your email; it does not contain other personal data.
3. The 30-day recovery window
For 30 days after deletion you can request reinstatement by emailing privacy@assetwrx.com from the deleted address. Reinstatement reverses the soft-delete on your sole-owned workspaces and reactivates your sign-in. After 30 days reinstatement is no longer possible.
You can request an earlier hard-deletion (no recovery window) by emailing privacy@assetwrx.com. We will action it within 30 days subject to identity verification.
4. What is permanently deleted after 30 days
After the recovery window elapses, a scheduled job hard-deletes:
- your authentication account;
- your profile row;
- all sole-owned workspaces and the Content within them (assets, inspections, jobs, contacts, team rosters, etc.);
- all media objects stored on your behalf across asset-images, inspection-media, asset-documents, and profile-avatars buckets;
- any pending invitations, share links, or queued exports tied to your account.
5. What is retained or anonymised
Some records are retained beyond hard-deletion for legitimate purposes:
| Category | Why retained | How long |
|---|---|---|
| Billing records (invoices, payment metadata) | Statutory tax / accounting obligations | As required by tax law (typically 6–10 years) |
| Account deletion audit log | Demonstrate Art. 17 compliance to supervisory authorities | 7 years |
| Consent audit log | Demonstrate Art. 7 lawful basis for past processing | 7 years from withdrawal |
| Security and abuse logs | Defend against fraud / abuse | Up to 12 months |
| Sub-processor logs (e.g. Stripe, Resend) | Held by those processors under their own retention policies | Per processor |
| Backups | Disaster recovery | Backups roll off within 35 days; restored backups are immediately re-purged |
Where retention is not statutorily required, we anonymise rather than retain identifiable data where it is technically feasible.
6. Shared workspaces
If you are a member but not the sole owner of a workspace, deleting your account does not delete that workspace or the data it contains. Your membership and personal contributions are removed; the workspace continues to exist for the remaining members.
If you are the sole owner of a workspace and other members would lose access on your deletion, we recommend transferring ownership before deleting. Reach out to support if ownership transfer is needed.
7. Identity verification
For deletion requests we receive by email we may ask for additional information to verify your identity (e.g. confirmation from the registered email address, or a recent invoice number). We will not action a request that we cannot reasonably attribute to the account owner.
8. Right to lodge a complaint
If you are unhappy with how we have handled your deletion or erasure request, you have the right to lodge a complaint with a data protection authority. In the UK that is the Information Commissioner’s Office (ico.org.uk).
